Plain-English definitions for the terms you'll encounter when evaluating vending, micro-market, and office coffee programs — from the hardware inside a machine to the contracts that govern a placement.

- Bean-to-Cup
- A type of commercial coffee machine that grinds whole beans and brews a single cup on demand. Bean-to-cup brewers deliver fresher flavor than pod-based systems and are a cornerstone of modern office coffee service .
- Bill Validator / Coin Mech
- The hardware inside a vending machine that accepts and verifies paper currency (bill validator) or coins (coin mechanism). Modern bill validators use optical and magnetic sensors to detect counterfeits and return change accurately.
- Cashless / Contactless Payment
- Payment methods that do not require physical cash — including credit and debit cards, NFC tap-to-pay, mobile wallets (Apple Pay, Google Pay), and QR codes. - Combo Machine
- A single cabinet that dispenses both snacks and cold beverages. Combo machines are popular in smaller locations where space or foot traffic does not justify two separate vending machines .
- Commission / Revenue Share
- An arrangement where the vending operator pays the host location a percentage of gross sales as compensation for the space and utilities the machines consume. Commission rates vary by location size, sales volume, and contract terms.
- EMV
- A global payment security standard (named after Europay, Mastercard, and Visa) that governs chip-based credit and debit card transactions. EMV-compliant vending terminals reduce chargebacks and protect against counterfeit card fraud.
- FIFO (First-In, First-Out)
- A restocking practice where newer product is loaded behind existing inventory so the oldest items are sold first. FIFO is especially critical in vending and micro-markets where perishables, dairy, and fresh food are carried.
- FitPick
- A voluntary wellness-labeling program developed by the National Automatic Merchandising Association (NAMA) that identifies better-for-you options in vending — typically items meeting defined limits on calories, fat, and sodium.
- Free Vending / Free Placement
- A service model in which the vending operator supplies, installs, stocks, and services free vending machines at no charge to the host business. The operator recoups costs through product sales; the employer pays nothing for equipment or maintenance.
- Full-Service Vending
- A complete vending solution where the operator owns the equipment and handles every aspect of the program — installation, stocking, cleaning, repair, and cash/cashless settlement. The host location has no operational responsibilities.
- Glass-Front Machine
- A vending machine with a transparent door that lets customers see the full product selection before purchasing. Glass-front designs are standard in modern snack, beverage, and fresh-food vending machines .
- MDB (Multi-Drop Bus)
- An industry-standard serial communication protocol that allows a vending machine's controller to communicate with peripheral devices such as bill validators, coin mechanisms, and cashless payment readers. MDB is the backbone of interoperability across vending hardware brands.
- Micro-Market

- NFC (Near Field Communication)
- A short-range wireless technology (typically under 4 cm) that enables contactless data exchange between devices. In vending, NFC powers tap-to-pay transactions via smartphones and NFC-enabled credit cards at cashless payment terminals.
- Office Coffee Service (OCS)
- A managed refreshment program — see our full office coffee service page. OCS supplies a business with coffee equipment, beans or pods, cups, creamers, and related consumables on a recurring delivery schedule, ranging from simple pod brewers to full bean-to-cup systems and cold-brew taps.
- Planogram
- A visual diagram that maps which products occupy which slots or shelves inside a vending machine or micro-market. Operators use planograms to standardize product placement, maximize sales per facing, and ensure consistent restocking across their route.
- Remote Monitoring
- The use of cellular or Wi-Fi–connected telemetry hardware to track machine status, inventory levels, sales, and error codes from a central platform. Remote monitoring allows operators to schedule service proactively rather than reactively, reducing downtime and out-of-stocks.
- Restocking / Route
- The scheduled visit by a vending technician (route driver) to refill machines, rotate product following FIFO, collect cash, and address any service issues. Route frequency is determined by machine sales velocity and operator service standards.
- Shrinkage
- Inventory loss due to theft, damage, or spoilage. In micro-markets — where products are openly accessible — managing shrinkage through camera surveillance, kiosk prompts, and regular audits is an important operational consideration.
- Slotting
- The assignment of specific product SKUs to specific coils, columns, or shelf positions within a vending machine or market. Effective slotting balances high-velocity items in accessible positions with new or promotional products to drive trial.
- Smart Cooler / AI Cooler
- A refrigerated grab-and-go unit equipped with computer vision, weight sensors, and cloud software to identify which products a customer takes and charge them automatically. - Subsidized Vending

- Telemetry
- The automated collection and transmission of machine data — including sales, inventory counts, error codes, and temperature readings — from vending equipment to a cloud-based management platform. Telemetry is the foundation of modern data-driven vending operations.
- USDA Smart Snacks
- Nutritional standards established by the U.S. Department of Agriculture under the Healthy, Hunger-Free Kids Act that govern the foods and beverages sold in vending machines on K–12 school campuses during the school day. Products must meet defined limits on calories, fat, sodium, and sugar.
- VMS (Vending Management System)
- Software that operators use to manage every aspect of their vending operation — telemetry data, route scheduling, planogram management, cash accounting, and performance reporting. A VMS centralizes the data from an entire machine fleet into a single dashboard.
